Job Summary

The Purchasing Manager oversees the end-to-end procurement lifecycle, including ordering, receiving, storing, distribution, and payment processing. This role is responsible for maintaining a comprehensive approved vendor list and ensuring that all purchasing activities align with hotel quality standards and financial goals.

Core Work Activities

Procurement & Inventory Management

  • Strategic Sourcing: Establish and maintain an approved vendor list across all categories to ensure quality and cost-effectiveness.

  • Culinary Collaboration: Partner with the Executive Chef to order food, beverage, and controllable items, ensuring inventory supports production needs while minimizing waste.

  • Inventory Control: Enforce “First In, First Out” (FIFO) rotation, maintain optimal stock levels, and oversee periodic inventory counts according to accounting SOPs.

  • Asset Security: Implement safeguards for the security of food and beverage storeroom assets and maintain accurate perpetual beverage logs.

Quality Assurance & Compliance

  • Inspection: Personally receive and inspect all deliveries to verify quantity, quality, weight, and adherence to purchase specifications.

  • Safety & Sanitation: Ensure the storeroom and receiving areas comply with brand sanitation and safety guidelines.

  • Regulatory Alignment: Use professional judgment to ensure all procurement processes comply with local laws and internal standards.

Financial & Administrative Oversight

  • Data Analysis: Utilize computer systems to perform daily and period-end costings, audit invoices, and maintain accurate bookkeeping.

  • Budgeting: Assist in maintaining budgeted costs for food and controllables; provide variance analysis and financial reports to the leadership team.

  • Tax & Reporting: Monitor relevant taxes to ensure they are current and accurately accrued; ensure all financial results are documented and submitted on time.

Leadership & Property Support

  • Operational Strategy: Work with operations teams to align purchasing strategies with the brand’s business goals.

  • Team Development: Lead by example with integrity; provide direction to subordinates and complete timely performance reviews.

  • Communication: Maintain open lines of communication between vendors, kitchen staff, and management to ensure seamless delivery timing.


Candidate Profile

Education and Experience

  • A 4-year bachelor’s degree in Finance, Accounting, or a related major.

  • OR a minimum of 2 years of experience in Purchasing or a related professional field.

Key Competencies

  • Proficiency in procurement and accounting software.

  • Strong analytical and problem-solving skills to resolve vendor or inventory conflicts.

  • Exceptional organizational skills with a high level of self-confidence and enthusiasm.
