The Role

We are seeking a professional and organized Junior Executive – Administration & Front Office to serve as the first point of contact for our office. In this role, you will manage front-desk operations and provide vital administrative support to ensure a smooth, efficient, and welcoming environment for visitors, clients, and employees alike.

Job Accountabilities

Front Office & Visitor Management

  • Reception: Manage the front desk by welcoming all visitors, clients, and employees with a courteous and professional demeanor.

  • Communication: Handle incoming telephone calls and general emails, ensuring inquiries are responded to or redirected promptly.

  • Security: Maintain accurate visitor logs, issue visitor passes, and ensure adherence to all office security protocols.

General Administration & Operations

  • Office Supplies: Monitor and requisition office stationery, welfare items, and general supplies to maintain uninterrupted operations.

  • Facility Maintenance: Oversee daily office operations, including housekeeping, maintenance, and managing service agreements for janitorial services and equipment rentals.

  • Logistics: Coordinate staff parking and manage company mobile, voice, and data connections.

  • Meetings: Assist in scheduling meetings, managing room bookings, and coordinating necessary logistics.

Executive & Specialized Support

  • Travel Coordination: Manage overseas travel arrangements for the Marine Operations staff as requested, coordinating with relevant agencies and parties.

  • Executive Assistance: Maintain the Director’s calendar and diary, updating appointments and facilitating necessary coordination.

  • Inquiry Follow-up: Address and follow up on internal and external inquiries routed by the Director to ensure timely completion.


Candidate Profile

Education & Experience:

  • Minimum Education: At least 2 passes at G.C.E. A/L or an equivalent qualification.

  • Experience: 1–2 years of experience in a reception, front-office, or administrative support role.

  • Certification: A Diploma or certificate in Administration, Office Management, or Secretarial Studies is considered a distinct advantage.

Skills & Competencies:

  • Language: Strong verbal and written communication skills in English.

  • IT Literacy: Basic proficiency in MS Office (specifically Word, Excel, and Outlook).

  • Interpersonal: A professional attitude with the ability to manage multiple administrative tasks simultaneously.
