Position Statement

A Reservations Executive is responsible for ensuring the smooth and efficient operations of the Reservations department. In this role, you will support the hotel’s ongoing effort to deliver outstanding guest service while maximizing room revenue and consistently achieving or exceeding financial targets.

What will you be doing?

As a Reservations Executive, you will perform the following tasks to the highest standards of the Hilton brand:

Daily Operations & Quality Control

  • Processing: Ensure all reservations are processed and updated with timely accuracy.

  • System Management: Update all traces, guest requests, and billing instructions in OnQ.

  • Quality Assurance: Perform daily quality control checks on new bookings and ensure pre-arrival checks are completed for guests arriving within the next three days.

  • Correspondence: Respond promptly to all email and telephone inquiries with extensive knowledge of hotel products and services.

Financial Accountability

  • Revenue Protection: Follow up on no-shows and late cancellations to activate appropriate charges; manage deposit payments and virtual credit card transactions.

  • Billing: Oversee Direct Bill documentation in coordination with the Front Office and ensure resolved status for all charges.

  • Redemptions: Monitor Hilton Honors redemptions and take appropriate follow-up actions.

Group & Sales Support

  • System Setup: Create SRP codes and support the creation of group masters and packages.

  • Group Management: Process group rooming lists and ensure group block cut-offs and attrition are managed according to signed contracts.

  • Business Growth: Support upselling opportunities and identify potential new accounts or group business for the Sales team to pursue.

Compliance & Reporting

  • Integrity: Protect rate integrity for contracted accounts and ensure accurate filing of all correspondence.

  • Standards: Comply with all company policies and brand standards relating to reservation processes and system procedures.


What are we looking for?

To successfully fill this role, you should maintain the following attitudes, skills, and experience:

  • Experience: Minimum of 2 years of experience in a similar capacity with an international hotel chain.

  • Education: Relevant diploma or degree in a business discipline.

  • Mindset: Passionate about guest experience with a positive, proactive, and accountable approach to problem-solving.

  • Teamwork: An excellent team player who works well with diverse stakeholders to ensure hotel success.

  • Drive: A sense of urgency and discipline to complete tasks within a fast-paced environment.

  • Adaptability: Flexibility to respond effectively to changes in business volume and requirements.
