Job Summary

Operating within the Procurement, Purchasing, and Quality Assurance career area, the Cluster Procurement Manager negotiates with suppliers, verifies and authorizes strategic purchase requisitions, and approves purchase orders. This role actively advises property departments on standard purchasing procedures and ensures full, up-to-date tracking of store inventory levels.

Core Work Activities

Managing Supplier and Vendor Relations

  • Negotiation & Quotes: Negotiate directly with selected suppliers to obtain highly competitive commercial quotations.

  • Site Coordination: Organize and coordinate on-site visits with contractors and hotel end-users to secure precise project quotations.

  • Market Alignment: Maintain close, frequent contact with the vendor market to stay updated on emerging product information, pricing trends, and availability.

  • F&B Sourcing: Identify, evaluate, and select reliable, regular suppliers for daily food and beverage purchasing based on routine competitive quotes.

  • Quality Evaluation: Attend and participate in property food tasting panels for F&B evaluations and vendor selection.

  • Contracting: Draft, review, and negotiate formal supply contracts with preferred vendors.

  • Supplier Sourcing: Attend industry exhibitions and seminars to source new suppliers and find products with optimized price-performance ratios.

  • Rebate Optimization: Engage with suppliers to secure or extend beneficial volume rebate programs.

Managing Procurement Activities

  • Order Authorization: Rigorously verify, validate, and authorize operational procurement orders.

  • Expediting: Place bulk orders and actively expedite deliveries to prevent property stockouts.

  • Tender Management: Prepare formal tender invitations, execute structured tender openings for selected high-value items, and compare bids to guide procurement decisions.

  • Value Engineering: Source alternative products with competitive pricing while striving to maintain or improve brand quality, standards, and services.

  • Financial Reporting: Prepare and submit comprehensive monthly cost-saving reports to the Director of Finance.

  • Sustainability Sourcing: Explore strategic opportunities for green procurement and actively support the property’s corporate recycling initiatives.

  • Internal Advisory: Provide actionable procurement suggestions to other hotel departments to help them achieve cost savings while fully fulfilling their operational requirements.

Candidate Profile

Education and Experience

  • A High School Diploma or GED; paired with a minimum of 2 years of professional experience in procurement, purchasing, or a related hospitality supply chain area.

  • OR

  • A 2-year Associate Degree from an accredited university in Business Administration, Marketing, Hotel and Restaurant Management, or a related major; paired with a minimum of 1 year of professional experience in procurement, purchasing, or a related area.
